Built as a corporate module within the Ordinacni TAXI ecosystem, it gives organizations a turnkey solution for managing, tracking, and controlling employee medical transport spending through a single self-service portal.
The platform addresses a gap in employee benefits infrastructure. Companies across Europe increasingly recognize that unreliable transport is a primary barrier to employees accessing healthcare services. CareTAXI removes this barrier while giving finance and HR teams the visibility and cost controls they need to manage the benefit responsibly.
The challenge extended beyond simple ride booking. Companies needed granular financial controls, the ability to delegate management to department leads without granting full system access, and compliance with European data protection regulations. Many organizations also operated across multiple locations, requiring a multi-tenant architecture that could handle different carrier preferences, approval rules, and spending limits per subsidiary.
CareTAXI operates as a multi-tenant corporate module with three levels of access: company administrator, manager, and employee. Company admins configure organizational settings, manage members, set cost centers, and review spending. Managers approve ride requests and monitor their department's usage. Employees simply book rides and see their personal history.
Key architecture decision: We built a company-level role system that operates independently of the global platform roles. A user can be an administrator at the platform level while being a regular employee within their company's CareTAXI instance, or vice versa. This orthogonal design prevents permission conflicts and simplifies user management.
Each company configures its own carrier preferences. Some organizations contract exclusively with one carrier network, others let employees choose. When a company locks its carrier preference, the booking interface automatically hides the carrier selection and routes all rides to the designated provider. Administrators can also lock this setting so company managers cannot override it.
The approval workflow is configurable per company. When enabled, employee ride requests enter a pending state until a company admin or manager approves them. Organizations that want to reduce friction can set an auto-approval threshold: rides estimated below a certain price are approved automatically while more expensive rides still require human sign-off.
Full multi-tenant architecture. Users can belong to multiple companies. Each company has independent settings, members, cost centers, and carrier preferences.
Organize transport spending by department, project, or location. Each cost center has its own monthly budget with automated 85% warnings and hard limits at 100%.
Company admins toggle approval requirement per organization. Auto-approval below price thresholds reduces friction. Managers approve or reject with one click.
Three carrier modes: locked to a single carrier, locked to another, or employee's choice. Admin-level carrier lock prevents company managers from changing the setting.
Cron-generated HTML reports delivered to company admins on the 1st of each month. Order counts, spending breakdowns, cost center usage, and top users at a glance.
Bulk member import from CSV. Export members, orders, and spending data. Semicolon-delimited with UTF-8 BOM for Excel compatibility across European locales.
Company admins receive email and in-app notifications when members create orders. Bell icon with unread badge and dropdown panel. 60-second polling for instant awareness.
Employees can book rides for colleagues or dependents. Passenger name and phone are tracked separately from the booking user, with full visibility in order history.
